Your chatbot already talks to every visitor on your site. The MagicChat Zapier app lets everything it learns go somewhere useful: new leads land in your CRM, the questions people ask show up in Slack, and new content you publish gets added to the bot without you opening the dashboard.

This guide covers what the app can do, how to connect it, and six Zaps you can copy.

The MagicChat Zapier app is in beta while Zapier reviews it for the public App Directory. If you don't see it when you search in Zapier, email us and we'll send you an invite link.

What the app does

Triggers (something happens in MagicChat, Zapier starts a Zap):

TriggerFires whenYou get
New LeadA visitor fills in your bot's lead formEvery form field (name, email, phone and so on), the bot's name, and when it was captured
New Visitor QuestionA visitor asks your bot somethingThe question, the bot's answer, the chat ID and the bot's name

Both triggers let you pick one bot, or leave the Bot field empty to watch all your bots at once. Zapier checks for new items on a schedule: every 15 minutes on the free plan, faster on paid plans.

Actions (a Zap tells MagicChat to do something):

ActionWhat it does
Ask BotSends a question to your bot and returns the answer it would give in chat, whether it came from your content, and the source URLs. Uses one message credit.
Add Web Page to BotReads a public web page and adds it to the bot's knowledge
Add Text to BotAdds a piece of text (an FAQ, a policy, meeting notes) to the bot's knowledge

Before you start

You need two things:

  1. A MagicChat bot with some content in it. If you don't have one yet, create one and add your website or help docs.
  2. Your MagicChat API key. Go to Dashboard → Account, find the API Key section and click Generate. The key starts with mc-api-. Copy it somewhere safe.

Generating a new key replaces the old one. If you ever regenerate it, reconnect MagicChat in Zapier with the new key, or your Zaps will stop with an "invalid API key" error.

Step 1: Create a Zap and pick MagicChat

In Zapier, click Create → Zaps. In the trigger step, search for MagicChat and pick the event you want, for example New Lead.

If you're starting with an action instead (say, a Gmail trigger that feeds Ask Bot), add MagicChat in the action step the same way.

Step 2: Connect your account

Zapier asks you to sign in to MagicChat. Paste your mc-api- key into the API Key field and click Yes, Continue.

The connection is saved to your Zapier account, so you only do this once. Every MagicChat step in every Zap can reuse it.

Step 3: Choose a bot

The Bot dropdown lists every bot on your account.

  • For triggers, the bot is optional. Leave it empty to get leads or questions from all your bots, or pick one to narrow it down.
  • For actions, the bot is required. Pick the bot that should answer, or the one you want to teach.

Step 4: Test it

Click Test trigger (or Test step for an action).

  • New Lead needs at least one lead to pull a sample. If you see "No lead found", turn on the lead form (see Troubleshooting below), submit it once from your bot's chat page, and test again.
  • New Visitor Question looks at the last 7 days. If you see "No question found", open your bot at magicchat.ai/c/your-bot-slug, ask it anything, and test again.
  • Ask Bot returns a real answer, so you can see exactly what your bot will send before you switch the Zap on.

Step 5: Publish

Add the rest of your steps, then click Publish. The Zap runs on its own from here.

6 Zaps worth setting up

1. Save every lead to Google Sheets

New Lead → Google Sheets: Create Spreadsheet Row

Map name, email, phone and captured_at to columns. You get a running list of every lead your bot collects, with no CSV exports.

2. Send leads straight to your CRM

New Lead → HubSpot: Create or Update Contact (or Pipedrive, Salesforce, Zoho)

Use the lead's email as the contact key and put the bot name in a "Lead source" property, so you can see which bot brought each person in.

3. Ping your team in Slack when a lead comes in

New Lead → Slack: Send Channel Message

Something like New lead from Bot Name: Name, Email, Phone, with each word mapped to the matching field from the trigger. Speed matters with inbound leads, and this gets them to whoever is online.

4. Find the gaps in your bot's knowledge

New Visitor Question → Google Sheets: Create Spreadsheet Row (or a Slack channel)

Log the question and the bot's answer side by side. Once a week, scan for answers that dodge the question. Each one is a page or FAQ you haven't written yet. Add it with Add Text to Bot and the gap is closed.

5. Draft email replies with your bot

Gmail: New Email (or Help Scout, Zendesk, Front) → MagicChat: Ask Bot → Gmail: Create Draft Reply

Send the email body as the question and use the bot's answer as the draft. You review and hit send. If the Answered From Knowledge Base field is false, the bot had nothing to go on, so you can add a Filter step to skip those emails and answer them yourself.

We wrote a longer walkthrough of this one: How to automate email replies with AI.

6. Keep the bot trained on everything you publish

RSS by Zapier: New Item in Feed → MagicChat: Add Web Page to Bot

Point it at your blog's RSS feed and use the item's link as the Page URL. Every new post becomes something the bot can answer from.

For content that isn't on a public page, use Notion: New Database Item (or Google Docs) → MagicChat: Add Text to Bot, with the page title as the Title and the page text as the Content.

Troubleshooting

"Your MagicChat API key is invalid or was regenerated" The key was regenerated or mistyped. Generate a fresh key in Dashboard → Account, then in Zapier go to My Apps → MagicChat → Reconnect and paste it.

"Lead form is not enabled for this bot" / New Lead never fires The lead form is off by default. Open the bot, go to Settings → Contact / Lead Form, tick Enable lead form, choose your fields and save. A "Leave your details" button then shows up in the chat.

"No question found" when testing New Visitor Question The trigger only looks back 7 days. Ask your bot a question on its chat page, then test again.

"Couldn't read enough text from that page" (Add Web Page) The page needs to load without a login and have real text on it. For pages behind a login, copy the text and use Add Text to Bot instead.

Plan limits Ask Bot uses one message credit per run, and Add Web Page / Add Text each add a source to the bot. If you hit your plan's message or source limit, the step fails with a message saying so. Remove old sources or change your plan.

For developers

The Zapier app is a thin layer over the MagicChat account API. You can call the same endpoints from Make, n8n, a script or your own backend. The full reference, with request and response examples, is at magicchat.ai/docs/zapier.
